Different types of assistant mandates

AAP = Assisting academic personel o Fulltime AAP: are supposed to prepare a PhD o ‘Praktijkassistenten’ or Teaching Assistants: 10%, 20%, etc. o Voluntary scientific corobarators BAP = Specific academic personel o FLOF o FWO o IWT o Etc.

Fulltime AAP versus BAP o 4 years versus 6 years o versus o Income taxes versus no income taxes ‘Praktijkassistenten’ o Renewable every year o Maximum 5 years o Important: if teaching assistant later wants to pursue PhD, years as TA are deducted

Your PhD and the doctoral training

I. The PhD

A. Timing doctoral thesis PhD has to be accomplished within 4 or 6 years o 4 years when appointed as a PhD scholar (BAP bursaal) o 6 years when appointed as a teaching and research assistant (AAP assistent) A PhD proposal has to be submitted to the doctoral commission within 1 year The doctoral commission has to approve the PhD proposal within 20 months Pre-defence and public defence

B. Size of the doctoral thesis In general 100,000 to 160,000 words (Footnotes included) Which amounts to 200 to 320 pages

C. PhD proposal At the latest 14 days before the meeting of the doctoral commission, the PhD proposal has to be submitted to Els Costers o The meeting days of the doctoral commission can be found at the website of the law faculty (facultaire agenda) Content of the PhD proposal dossier: o Title o Description of the doctoral research (max words) o Table of content o Bibliography o English abstract (max. 150 words) o Proposal for the doctoral training program o Written acceptance by the PhD promoter o Proposal for a member of the doctoral guidance committee o Phone number where the PhD candidate can be contacted during the meeting of the doctoral commission o Copy of the relevant diplomas o If applicable: external funding source

D. Defence of PhD proposal during the doctoral commission meeting 20 min. oral explanation of the doctoral thesis proposal o PhD candidate and promoter or co-promoter need to be present o Candidate answers questions by the members of the doctoral commission, promoter/co-promoter has the opportunity to clarify/supplement the doctoral thesis proposal and the questions given by the candidate afterwards 10 minutes of deliberation in the absence of the candidate and his promoter/co-promoter Advice of the doctoral commission o ‘Yes’ o ‘Yes, but …’ o ‘No’ (which means that the candidate has to redraft his PhD Proposal)

Doctoral training program

A. ‘Truncus communis’ (1) At least one publication in an international journal or two publications in a national journal Two doctoral seminar lectures o ‘First doctoral seminar’ (eerste doctoraatsseminarie) concerning the doctoral research in the presence of the promoter, (the co-promoter), and the entire guidance committee o ‘Second doctoral seminar’ (tweede doctoraats- seminarie) concerning a freely chosen subject in the presence of the promoter

A. ‘Truncus Communis’ (2) Lecture given at an international conference Attendance at the activities of the doctoral training program, with a minimum of 16 hours Additional part

B. Practical information Academic coordination of the doctoral training program o Law: prof. Peggy Valcke o Criminology: prof. Stefaan Pleysier Proposal for the doctoral training program (form D008) o Has to be accepted by the doctoral training program coordinator before submittal to the doctoral commission o Has to be submitted to the doctoral commission with the PhD proposal Subscription as a doctoral student (University student administration) o First year of appointment and year of the public defence: 250€ o Other years: obligatory but free of charge

Practical matters

Enroll as a PhD-student Obligatory, on yearly basis Via KU Loket (ex-KUL students) … … or Universiteitshal (newcomers) (bring a copy of your diploma with you!) Costs (quite a lot of) money ( €) But: sum only to be paid in first year & final year And: you get a fancy KU Leuven agenda and a bus card and a student card (i.e. student discounts)

2WD-bikes Flashy quality bikes For: AAP/BAP, but not for FWO …  Duration: KU Leuven mandate Free maintenance service by Velo Order by registration form (intranet) (could take a while) Note: lock your bike or pay the price! (200 €)

Keys Office keys: to be obtained at faculty secretariat (10 € deposit) Night key: to be obtained on black market (which is a pain in the ass during summer recess)

Financial antenna When paying for stuff (p.e. conferences, hotel, gift for a guest lecturer, new furniture …): Best fill in a form on beforehand (see website) If not, it can be really tricky to get reimbursed Better option (if possible): pay with department money
